OFFICE MANAGER

 

Juneau, AK / Temp to Hire / Long-Term / Full-time, M-F / $24-$26 P/HR. DOE

Summary

Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; and assigning and monitoring clerical functions.

Additionally, oversees and administers shareholder services. Responsible for shareholder data and records management. Assists in the development and implementation of shareholder relations programs and activities. Supports administrative and operational functions as needed.

General Duties

  • Organizes office operations and procedures, including filing and records management, requisition of equipment and supplies, and other administrative duties.
  • Helps establish and maintain administrative policies and procedures.
  • Evaluates office production, devises new processes and revises procedures to improve efficiency of work flow.
  • Establishes and maintains a data management process for retention, protection, retrieval, transfer, and disposal of business and corporate records to include shareholder information.
  • Reviews clerical and corporate records to ensure completeness, accuracy, and timeliness.
  • Establishes uniform correspondence procedures and style practices relating to shareholder services.
  • Oversees shareholder functions and shareholder relations programs and projects, providing planning, administrative, and clerical support.
  • Processes shareholder distributions.
  • Processes estate and administration stock transfers on behalf of the corporation and shareholders. Responsible for stock gifting program.
  • Prepares office management and project reports for CEO and CFO as requested.
  • Manages administrative expenses to the budget. Prepares monthly or quarterly reports.
  • Hires temporary staff as directed by the CEO or CFO.
  • Maintains inventory of office supplies and places orders when necessary.
  • Manages agendas/travel arrangements/appointments for management and Board of Directors.
  • Produces timely reports and prepares presentations/proposals as assigned.
  • Acts as Recording Secretary for Board meetings.
  • Manage Elders Trust Benefits and Estate Settlements.
  • Coordinate with general counsel, corporate secretary and management the production of annual shareholder meeting material, assist board candidates in filling out required paperwork to run as a candidate. Ensure that all the required documents are filed with the appropriate entities.
  • Performs other related duties as assigned by management.

Job Qualifications

  • Proven experience as an Office manager, Front office manager or Administrative assistant.
  • Knowledge of office administrator responsibilities, systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Hands on experience with office machines (e.g. fax machines and printers).
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Familiar with Roberts Rules of Order.
  • Education: Associates Degree in Business.
  • Experience: 5-8 years of related experience.
